One-Way Prado Hire: Settle the Collection and Return Details First
If your trip ends somewhere different from where it starts, a one-way Prado rental may save a return journey. First, the hire company needs to confirm that it can collect the vehicle at the other end on your dates.
Settle the return location and who will receive the car before booking hotels, flights or onward transport around the arrangement. One-way hire needs approval in advance; don't leave the request until after you've collected the keys.
Give the provider both addresses
A broad route such as Nairobi to the coast leaves too much unresolved. For both ends of the hire, provide a place name, map pin, practical vehicle-access point and proposed time window.
For a hotel handover, ask whether you would meet in reception parking, an entrance lay-by or another approved area. Check that the hotel has agreed to any role in receiving the vehicle; its address alone doesn't establish that.
Include the route, passenger and luggage count, and whether you want self-drive or a chauffeur. A driver who drops you off and takes the car away is providing a different service from collection after several days of self-drive hire.
Use the Prado model options to describe the vehicle you need, then ask about the feasibility of the whole request.
Ask about collection before committing
Send the provider these questions together:
- Can you approve these start and finish locations for these dates?
- Who will receive the car at the final location?
- What collection window can we agree?
- Where can the car wait safely and lawfully if we arrive at different times?
- Which handover checks or documents are required?
- What happens if either party is delayed?
- What is the total charge for this arrangement?
A distant return point may be a specially arranged collection, not a company branch. The request may also be unworkable. EliteMotion's rental terms make delivery, collection and route arrangements subject to agreement.
Get the one-way costs itemised
Ask the quote to separate the rental period from the collection arrangement. Clarify any charges for collection, vehicle repositioning, waiting or agreed chauffeur travel and overnight arrangements. These are possible categories to ask about, not charges that apply to every booking. Avoid assuming there's one flat fee.
Confirm exactly when the rental period ends. The agreement may use the booked return time, completed inspection or another stated point. You need to know which applies when arranging onward transport.
Request a return-to-origin quote for the same trip length as a comparison. Account for the extra time and transport that option would involve before judging whether one-way hire is worth the difference.
Work backwards from your onward departure
If you have a fixed departure, allow separately for:
- Travel from the car handover point to your departure point
- Inspection, removal of belongings and the rest of the handover
- Refuelling as required by the return agreement
- Driving from your final accommodation
- A reasonable margin for an ordinary delay
Ask about the actual final segment of the journey. A general Nairobi-to-destination driving estimate won't tell you whether you've left enough time for inspection before boarding.
If several people are travelling, decide who will stay for the handover and how the others and their luggage will continue. Check for jackets, passport pouches and travel bags before the car leaves.
Agree what to do about delays
Keep a contact and alternative instructions with the location details. Ask what happens if you're late, and what to do if the receiving representative is delayed. Confirm whether the original handover point remains suitable for waiting and when you should call for a revised plan.
Only hand the keys to the agreed receiving person and complete the agreed steps. Don't leave the car with an unrelated person or abandon it because you've sent a photograph.
Get written approval if the route or return location changes during the trip. Even a convenient empty parking bay needs agreement before it becomes the return point.
Confirm the final arrangement in one message
Before departure, gather the details into a summary for the hire company to confirm:
- Booking reference and agreed vehicle requirements
- Collection place and time
- Approved itinerary
- Return place, date and time window
- Name or verified contact of the receiving representative
- Fuel and vehicle-condition return requirements
- One-way charges and agreed waiting arrangements
- Delay contact and completion procedure
This is especially helpful when the initial enquiry, revised quote and final itinerary are in different message threads.
Have an alternative if collection isn't available
You could ask about a chauffeur transfer for the relevant leg, revise the itinerary to return the car to its original location, or end the rental earlier and use separate onward transport. Each option needs its own confirmation of availability.
Send the complete one-way brief, including both endpoints, before building the rest of the journey around the return arrangement.
