Taking a Prado Upcountry: Plan the Final Kilometres to the Family Home

The directions to a family home can be as familiar as "Call when you pass the shops" or "someone will meet you at the junction." They work when everyone means the same place and someone is available to answer. "Use the other entrance this time" is also easier to act on when you hear it before arriving.

For an upcountry visit in a hired Prado, agree the arrival details with your host before leaving. You'll have fewer roadside calls to make and more time for the visit.

Agree who will give the final directions

Ask your host to choose one person to coordinate your arrival. Give them the driver or navigator's contact details and keep a second contact in case they miss your call. Relatives can still suggest shortcuts, meeting points or pickups, but pass any changes through that person so the car doesn't receive several different sets of instructions.

If someone plans to meet you at a junction, confirm the landmark, a map pin where possible and a safe place to wait. Your host may not be able to leave home as soon as you call from nearby.

Give an arrival window. If the journey takes longer than expected, update your contact from a safe stop, with a passenger handling messages where possible.

Describe the final approach to the hire provider

You may know the area well, but the provider needs enough detail to assess the journey. Describe the route and any unsealed section, narrow entrance or other access feature your host mentions.

Ask what has changed since your last visit. Last year's drive won't tell you what the road is like this weekend. If you don't know the area, request directions from an obvious main-road landmark all the way to the entrance.

Use that information to agree the journey with the provider. EliteMotion's rental terms require written approval for route changes, including a shortcut recommended by family. Their knowledge can help you assess it; the hire agreement still applies.

If the approach becomes unsuitable, work with the people responsible to arrange a safe, lawful meeting point or transfer. Don't continue onto a difficult track just because the house is close.

Include shopping in the luggage count

Overnight bags may be only part of the load. Food, gifts, a cooler and something you've agreed to collect on the way all need space. List what each traveller is bringing and what you plan to buy before choosing the car. Decide what is essential and what could be bought at the destination or delivered separately.

Compare that list with the Prado seating and luggage options, using the seats your group will actually occupy. A seven-seat description doesn't confirm room for seven people and every bag or box.

Secure heavy items low in the appropriate luggage area and stay within the vehicle's limits. Keep footwells, doors, seat belts and sightlines clear. Every passenger needs an approved seat and restraint, so decline an extra pickup if you can't provide both.

Settle the shopping list before departure

Ask the host what would be useful, what they have already arranged and whether anything needs special handling. Choose a suitable shopping stop on the agreed route and give it enough time. If the list now involves several stops, consider shopping earlier or taking fewer items.

Pack food and other supplies according to their storage needs. Keep containers that might leak away from the top of travel bags, and secure glass so it cannot move around the cabin.

Let the navigator manage one shared shopping list while the driver concentrates on the road. That gives everyone somewhere to put requests without each one prompting an unplanned turn.

Check where to park and unload

Find out where your host wants the car parked and the bags unloaded. A narrow, steep or shared entrance may need a particular approach, so ask about it beforehand and assess the conditions when you arrive.

Keep children and other bystanders clear while manoeuvring. If people give conflicting hand signals, stop and agree what to do before moving again.

Park securely before unloading. Keep essentials accessible so nobody has to climb over bags to find a change of clothes or something for the host.

Include any journeys with relatives during the stay, and their passenger needs, in the original hire brief. If the weekend plan changes once everyone is together, agree any material change before acting on it.

Leave time for the journey home

Another meal or conversation can delay departure, and there may be more to pack than you brought. Tell your host your intended leaving window and the vehicle's return commitment. Allow time to say goodbye without rushing the drive; packing most belongings before the final meal may help.

Check the return load too. Gifts and produce still need secure space within the vehicle's limits. Leave items for a later trip if taking them would overfill the cabin.

When you contact EliteMotion, include the destination, a description of the access, expected passengers and the full luggage plan.
